User Guide: Guard Tour Operations with QR Code Scanning

Overview
Guard Tour Operations introduces QR code scanning to physical security patrol management. Security guards can now complete patrol checks by scanning QR codes placed at physical checkpoints, instantly accessing the required assessment on their mobile device. Manual check-in remains available as a fallback.

For Back-Office Staff: Creating a Guard Tour
Step 1: Create a Physical Security Operation
- Open Bearing Workspace
- Click 📊 Operations in the sidebar
- Click Physical Security Operations
- Click New to create a new record
- Fill in the required fields:

- Click Save
Step 2: Add Checks (Checkpoints) to the Tour
- In the Guard Tour record, navigate to the Checks related list
- Click New to add each checkpoint
- For each check, fill in:
- Name: Descriptive checkpoint name (e.g., "Main Entrance - Door Check")
- Assessment Template: Select the Bearing assessment template to use
- Asset/CI: Select the relevant security device or location being assessed
- Enable QR Scanning: Check this box if a QR code will be placed at this location
- Save each check
Step 3: Generate QR Codes
For any check that has QR scanning enabled:
- Open the check record
- Click Generate QR Code
- A PDF is automatically created and attached to the check record
- Download and print the PDF label
- Physically place the label at the checkpoint location
The QR label includes:
- The check name (human-readable)
- A unique check tag (for manual fallback entry)
- The scannable QR code
Step 4: Assign the Tour
- In the Guard Tour (Physical Security Operation) record, click Assign Operation
- This creates assessment instances for all checks
- Guards in the assigned group will now see this tour in their mobile app
For Guards: Completing a Guard Tour on Mobile
Accessing Your Tours
- Open the Bearing mobile app on your device
- Log in with your ServiceNow credentials
- Your assigned Guard Tours are listed on the main screen
Completing a Check with QR Code Scanning
- Tap the Guard Tour to open it
- View the list of checks (checkpoints) for the tour
- Arrive at the checkpoint location
- Tap Scan QR Code on the check
- Point your device camera at the QR code label
- The assessment opens automatically
- Answer the assessment questions
- Submit the assessment
- A confirmation message appears and the check is marked complete
- Move to the next checkpoint
Completing a Check Without QR Code (Manual Entry)
If QR scanning is not available or the QR code cannot be read:
- Tap the check in your tour list (or use Tap to Access if scanning is not required)
- If prompted, enter the Check Tag (printed on the QR label)
- The assessment opens
- Complete and submit the assessment
Tour Completion
After all checks are completed, the Guard Tour is marked as complete. A confirmation message displays to acknowledge tour completion.
