User Guide: Workspace Search Enhancement

Overview 

The Workspace Search Enhancement improves how search works within the Bearing application. Search now automatically detects where you are and opens results in the right view - keeping you in the Physical Security Operations Workspace when that is where you are working. The workspace has also been renamed from "Security Operations Workspace" to "Physical Security Operations Workspace" for clarity. 

 

What Changed 

Before: Searching from within the workspace always opened results in the Classic UI, breaking your workflow and forcing you to switch between interfaces. 

After: When you are in the workspace, search automatically defaults to workspace search and opens results within the workspace. 

 

Workspace Name Update 

The workspace has been renamed:

Security Operations Workspace 

Physical Security Operations Workspace 

You will see this new name in the navigation menu, search dropdown, application menu, and all documentation. 

 

For All Users 

Searching from Within the Workspace 

When you are already working in the Physical Security Operations Workspace: 

  1. Locate the search bar at the top of the page 
  1. The search is already set to workspace mode (the dropdown shows "Physical Security Operations Workspace") 
  1. Type your search term: 
  • Record numbers: PSI0012345, GT0001234, PA0001234 
  • Names or descriptions: "North Building Guard Tour" 
  • Serial numbers, location names, or user names 
  1. Press Enter or click the search icon 
  1. The matching record opens directly in the workspace view 

 

Searching from Classic UI (Opening Results in Workspace) 

If you are in the Classic ServiceNow UI and want results to open in the workspace: 

  1. Click on the search bar (top navigation) 
  1. Click the search method dropdown - it defaults to "Global Search" 
  1. Select "Physical Security Operations Workspace" from the dropdown 
  1. Type your search term 
  1. Press Enter 
  1. The system redirects you to the workspace and opens the record there 

Note: You must select the workspace search option before typing your query.

Workspace search covers all Bearing app records, including: 

  • Physical Security Incidents (PSI) 
  • Physical Security Operations (PSO) 
  • Physical Security Alerts 
  • Physical Security Requests 
  • Physical Security Tasks 
  • Protected Assets
